Checking Content Out/In

Icons reflect the state of an OU Campus page and other files. When a user edits a page by clicking an edit button, the page is automatically checked out to that user. Likewise, when the user publishes a page it is automatically checked back in. A user might also manually checked out a page as this makes other page options available. 

The file status indicators help make clear why a page is not available for editing as well as who has checked out a page or scheduled an action.These icons are shown on many of the screens that display listings of content, as well as the File Navigation.

Icons

unlit lightbulb checked in file An unlit light bulb indicates a checked in file and can be checked out for editing.
lightbulb checkin hover A checked in file when hovered over
lit lightbulb checked out file A lit light bulb indicates the file is checked out to the current user (the individual currently logged into, working in, and viewing OU Campus).
red lock checked out other user  A red lock indicates the page is checked out to another user. It is possible to hover over the lock to see to whom the page is checked out. This will appear in a little pop-up.
pending approval current user A file pending approval by current user. The page has been sent by another user for approval and should be reviewed for accuracy and completeness prior to being published.
pending approval other user A file pending approval by another user. The page is waiting for approval from that user.
scheduled publish current user A file with a scheduled publish by the current user. This calendar icon can be clicked on by an administrator or the individual who scheduled the page to be published in order to change the publish date and time or to cancel the publish completely.
scheduled publish other user A file with a scheduled publish by another user
scheduled expire current user A file with a scheduled expire by the current user. Scheduled expires can be of three types: delete, replace, or redirect. This calendar icon can be clicked on by an administrator or the individual who scheduled the page to expire in order to change the expiration date and time or to cancel the expiration completely.
scheduled expire other user A file with an action scheduled expire by another user. Scheduled expires can be of three types: delete, replace, or redirect.

Checking a Page Back In

Files stay checked out to the user until the user:

  1. Publishes the page.
  2. Sends the page to another user for review.
  3. Checks the page back in by clicking on the lighted (yellow) light bulb from either the folder structure, or the Current Projects view found in the Dashboard (if configured) or under Reports> Checked Out Content

Checked out pages are locked from editing. Make sure to check the page back in so it can be made available to other users.
