SOP Research Days 2012

Greetings from the Office of Sciences and the Research Advisory Committee!

Please mark your calendars. The Eleventh Annual Research Days has been scheduled for June 12 – 13, 2012 in Amarillo. This event is a wonderful opportunity for all researchers from the School of Pharmacy to come together from all the campuses to talk about research and build collaborations and friendships.

Administrative support for the event will be handled by the Office of Sciences. The tentative plan is to open the program at 10:30 or 11:00 am on June 12th and conclude by 3:00 pm on June 13th following the awards presentation. The program is being handled by the Research Advisory Committee; if you have any questions, please contact the committee chair, Dr. Fakhrul Ahsan.

NEW THIS YEAR: ONLINE ABSTRACT SUBMISSION AND REGISTRATION.

Listed below is some important information for those who plan to attend and for department travel coordinators.

RSVP
Dallas, Abilene, Lubbock Personnel: Please email lynn.finkenbinder@ttuhsc.edu by April 15 if you plan to attend Research Days 2012 so we can assure that a hotel room is reserved for you. Please include the name of the individual with whom you would like to share a hotel room.

Travel Notes
Distant Campus Department Travel Coordinators: Your assistance with travel issues will be greatly appreciated!
The Office of Sciences will reimburse airport parking, airfare, hotel, rental car and fuel costs for participants traveling from Dallas, and hotel, rental car and fuel costs for those traveling from Abilene and Lubbock. We ask that travel coordinators in each distant campus department coordinate rental vehicles and also process travel applications and vouchers for Research Days attendees from their respective campuses.
Department travel coordinators may contact lynn.finkenbinder@ttuhsc.edu for the FOP when ready to prepare travel applications and for assistance, if needed, in determining mileage reimbursement amounts in order to stay in compliance with SOP OP 79.P.06
Dallas Attendees: Air reservations are due to your department travel coordinator by April 18.

Listed below are some suggested flights which will get you to Amarillo for the opening ceremony on the 12th and then back to Dallas before 6:00 pm on Wednesday evening:
Southwest Airlines: 6/12 – flight #4 departing Dallas 8:25 am; arriving Amarillo 9:35 am
6/13 – flight #47 departing Amarillo 4:25 pm; arriving Dallas 5:35 pm
American Airlines: 6/12 – flight #3203 departing Dallas 7:55 am; arriving Amarillo 9:00 am
6/13 – flight #3392 departing Amarillo 4:35 pm; arriving Dallas 5:45 pm
Please work with your department travel coordinator to arrange for a minimum number of rental vehicles at the Amarillo airport.

Lubbock/Abilene Attendees: Please work with your department travel coordinator to arrange transportation using the “Four-Per-Car Rule” cited in HSC Travel OP 79.06, while also abiding by “Faculty & Staff Travel Between Campuses” SOP OP 79.P.06.

Abilene Attendees ONLY: Hotel costs for both the 11th and 12th will be reimbursed if you choose to drive to Amarillo on Monday, the 11th.

Meals while in Amarillo will be provided; however, you will be on your own for any food costs while in transit.
Lodging expenses will be covered (2 individuals per room). This expense should be included for reimbursement on the travel application and voucher.

Abstracts
A new ONLINE ABSTRACT SUBMISSION process has been created (Kudos to the Amarillo TTUHSC IT Department!). Abstracts are limited to 2048 characters, which is equal to an approximate word count of 300.
Submission deadlines:
#1 Submission Deadline (for podium presentation consideration): Monday, April 16, 2012
#2 Submission Deadline (for poster presentation ONLY): Monday, April 30, 2012

Poster Information
The School will pay for printing of one plain poster (56” x 36” = $36) for each primary presenter. Per IT policy, poster printing requests and files must be received by Amarillo I.T.at amarillo.poster@ttuhsc.edu a minimum of seven (7) business days prior to the requested pick-up date. This allows time to print your “proof”, have you review, make any changes and provide your final approval with account information. Additionally, should we encounter printer issues and cannot complete the print job, other arrangements could be made with an outside source to print your poster. If one chooses the Friday prior to Research Days (June 8th) as the pick-up date, a reasonable deadline for submitting a poster would be Friday, June 1.
Please submit your poster for printing as early as possible to avoid last minute delays caused by unforeseen circumstances.

After IT approves the poster and prints it on the back of the Poster Printing Request Form, please forward the document (front & back will be required) to the Office of Sciences (lynn.finkenbinder@ttuhsc.edu ) for finalization of paperwork.

If you prefer a glossy poster, an account number for the extra cost must be provided (56” x 36” = $60 / 56” x 42” = $75). Lynn Finkenbinder will work with IT to assure that any posters which are being printed from the Dallas, Abilene and Lubbock campuses are approved and will also arrange for them to be hung.

Registration
A new ONLINE REGISTRATION process has been created; deadline for online registration: May 21. Registration will assure that you have a printed event program, a name tag, and food for the meals you plan to attend.

Annual Dinner
For those who wish to bring a companion to the annual dinner on Tuesday evening, the cost is $35, payment for which must be received in the Office of Sciences by Tuesday, June 5th. Checks should be made payable to "TTUHSC."Sign up is included with the online meeting registration.

Other Information
Podium presentations will be selected by the Research Advisory Committee. The Research Advisory Committee has determined that abstracts which are selected for podium presentations will not be eligible for the poster competition.

Information will be provided at a later date regarding poster judging.
