Microsoft 365 Project Update

Microsoft Authenticator is required. LEARN HOW TO INSTALL APP Downloading and setting up the free Microsoft Authenticator app is crucial for seamless and secure access to your email. Failure to use the Authenticator app will prevent you from signing in to Exchange Online and eventually Microsoft 365.
Prepare for Exchange Online
- STEP 1 - Download the Microsoft Authenticator on your Mobile Device.
- STEP 2 - Follow the prompts until you get to the page that asks you to sign in. Please select "add work or school account."
- STEP 3 - Sign in with your TTUHSC email and your eRaider password.
- STEP 4 - The Microsoft Authenticator app will open the browser to a Microsoft page requesting
you to sign in again. During this process, you may be asked to sign into your TTUHSC
email a few times.
Please enter your TTUHSC Email and eRaider password again and select "Next." - STEP 5 - In the Browser, you will be asked to confirm connecting your TTUHSC email account to the Microsoft Authenticator app. Choose the "Pair your account to the app by clicking this link" option.
- STEP 6 - When asked to open the Microsoft Authenticator app, select "Open."
- STEP 7 - When asked to allow notifications, select "Allow."
Note: Once this process has been completed, the TTUHSC account will show up in the Microsoft Authenticator App and look something like this:
- Clean up your mailbox
Delete any old emails or large attachments you no longer need. This can help speed up the migration process.

During this migration, you may not be able to see the free/busy status of other users. - Email Rules
Before migrating, export your Outlook rules so you have a backup in case of post-migration issues.

What to Expect After Migration
After your account has been migrated to Exchange Online open Outlook on your institutional device and sign-in.
If you login from a browser go to https://outlook.office.com to sign into your inbox. At this time, the URL mail.ttuhsc.edu will not be used for Exchange Online access.
After entering your TTUHSC email at https://outlook.office.com, the page will redirect to a TTUHSC sign in portal- like the sample shown.
On this page, enter your eRaider password and approve your sign in with the Microsoft Authenticator App.
Outlook Desktop App for personal or institutional devices:
- For institutional devices only: If at any time, you are asked to sign into "all" of the Microsoft Apps on your institutional, select "No."
- Doing so will cause issues with the Microsoft license that is on all institutional devices. At this time, the only app that should require a sign-in is the Outlook App.
On all Desktop outlook applications, you will be prompted to re-sign in and then approve
the sign-in with the Microsoft Authenticator App. Once the sign-in is approved, emails
will start to sync as usual.
Note: The sign-in page will look just like the Web sign in portal pictured above.
Use these steps to check to see if you have successfully sign into the TTUHSC Exchange Online account in the Outlook App on institutional or personal devices:
- STEP 1 - Open the Outlook app on your computer or laptop
- STEP 2 - Go to "file" in the top left and check the URL listed under "Account Settings."
- STEP 3 - Check that the server that is signed in is the "http://outlook.office.365.com/owa/ttuhsc.edu/"

Mobile Email Apps:
This is a list of the currently accepted applications for accessing the TTUHSC email
for phones and tablets:
- Microsoft Outlook and their mobile variants (Outlook for iOS/Android)
- The built in Apple mail app for iPhones and iPads
- Linux email application, Evolution
Note: If you already have your email connected to one of the approved phone email apps, you will be prompted to re-enter your password. Follow the prompt or go to the settings of the app and re-enter your eRaider password. You will be prompted to approve the sign in with the Microsoft Authenticator App, and then you emails will start to sync as usual.
Please note: If your email does not start syncing when you re-enter your password into the app, please go to settings, remove the account from the phone, and re-add the account.
- With any Mobile email app, you may be required to update the passcode that unlocks your device.
- This is a security requirement from Microsoft. Please follow the prompts to change the mobile device passcode.
- Do not use the same one, you will be prompted again until it is changed to a different passcode.
- Once the passcode has been changed, you can change it back to the original passcode, if you choose to.
Please take special care to remember the new passcode that you set. ITSC cannot assist in getting back into your device if it is forgotten.
You will need to contact the manufacturer of your phone to get back in.

Migration to Microsoft Exchange Online
Mandatory Upgrade to Office 2021: This is required for Exchange Online compatibility. Older Office versions will only be able to access email via webmail.
Automatic Upgrade Starting April 21st: TTUHSC IT will automatically upgrade devices to Office 2021 nightly (10 PM - 6 AM, Mon-Fri).
Avoid Disruptions: Keep devices powered on and connected to the network (or internet off-campus) to receive the upgrade. Devices not upgraded by April 28th will be updated upon their next connection, potentially causing daytime interruptions.
The email migration delivers significant enhancements:
- a substantial mailbox size increase,
- future integration with Office 365 services like OneDrive, SharePoint, and Teams,
- and robust reliability and security.
